Privacy Policy

 

1. Information Collection

 

I collect personal identity data (name, date of birth, address) and contact information (email, phone number). In the context of therapy and fitness coaching, I also collect ‘special category’ sensitive data, including medical history, mental health conditions, and physical fitness levels, to ensure safe and effective service delivery.

 

1a. Cookies

In addition to the personal and health information described above, this website uses cookies to operate effectively and to understand how visitors use the site. Full details of the cookies we use and how you can control them are set out in our Cookies Policy .

2. Legal Basis for Processing

 

Processing is necessary for the performance of a contract (delivering psychotherapy or coaching services) and for clinical compliance. Sensitive health data is processed under the condition of health or social care, in line with professional ethical frameworks.

 

3. Confidentiality and Data Sharing

 

Confidentiality is a cornerstone of Psymbiosis. Information is never shared with third parties without your explicit consent, unless required by law or in situations where there is a significant risk of harm to yourself or others. In such cases, I may be ethically or legally bound to notify appropriate authorities or healthcare providers. Where possible, this would be discussed with you first.

 

If you choose to work with me on a presentation outside my core areas of specialism, anonymised details of our work together may be discussed with my clinical supervisor as part of ensuring you receive appropriate, well-supported care. My supervisor is also bound by professional confidentiality requirements.

 

4. Data Storage and Retention

 

Clinical notes and personal data are stored securely on a password-protected device, in line with professional confidentiality standards. Records are retained for 7 years following the end of our work together, in keeping with BABCP guidance and good clinical practice, after which they are securely deleted. Where someone makes an enquiry but does not go on to become a client, their contact details are retained only for as long as needed to respond to that enquiry, then deleted.

 

5. Third Parties and Data Processors

 

This website is built on the Wix platform, and enquiry form submissions are processed and stored via Wix’s systems. Wix may store data on servers outside the UK, with appropriate safeguards in place; their own privacy practices can be viewed at wix.com. Where relevant, anonymised details of our work together may be discussed with my clinical supervisor, as set out in Section 3 above. Your personal data is not sold or shared with any other third party for marketing purposes.

6. Your Rights

 

Under UK data protection law, you have the right to request access to the personal data held about you, request correction of inaccurate data, request deletion of your data in certain circumstances, restrict or object to how your data is processed, request a copy of your data in a portable format, and withdraw consent at any time where processing is based on consent.

 

To exercise any of these rights, please get in touch via hello@psymbiosis.co.uk. If you have concerns about how your data has been handled that we have been unable to resolve directly, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.
